AI Seat Allocation Calculator

By Paige Gilmore, Founder, NetLift· Published July 28, 2026· Updated August 7, 2026

An AI seat allocation calculator identifies wasted spend by measuring the gap between total license costs and actual active usage. It reveals the true cost per active user to help finance and IT teams decide whether to expand, review, or stop specific license tiers.

An AI seat allocation calculator identifies how much of your software budget is lost to inactive licenses. By measuring the gap between seats purchased and seats used, you can determine the true cost per active user and reallocate budget to high-impact teams.

This tool computes results based on your specific inputs for seats, price, and usage rates. Every calculation uses formulas focused on financial transparency: wasted spend is the total cost of unused seats, while the cost per active user represents your actual investment for every person driving value.

How this calculator works

Wasted spend = seats x price x (1 minus active-usage rate). Cost per active user = total cost ÷ active users.

Every result is computed in your browser from the numbers you enter — nothing is estimated for you. The same formulas run inside NetLift on verified tracked work, where results carry an Evidence Quality grade.

How is wasted spend measured?

Wasted spend is calculated by multiplying the number of seats by the price, then adjusting for the inactive usage rate. If a significant portion of your licenses remains untouched, your effective cost per user rises above the sticker price, draining budget that could be used elsewhere.

What should you do with these results?

Every measured area of spend is assigned a decision state: Expand, Continue, Review, Improve, or Stop. If active usage is low or the cost per active user is too high, the 'Review' or 'Stop' states help you justify reducing seat counts during your next renewal cycle.

NetLift moves beyond seat counts to measure whether your AI spend actually pays back. By comparing the labour value of time saved against the full AI cost—including licenses, implementation, and training—NetLift calculates current net value. Decisions are backed by an Evidence Quality grade, ensuring you base your allocation on verified work rather than self-reported estimates.

AI Licence Renewal Scorecard

An AI licence renewal scorecard determines whether to expand, continue, review, or stop software spend based on measurable labour value and net return. A score of 7 or higher suggests expansion, while a score under 3 indicates the service should be improved or stopped before renewal.

AI Agent ROI Calculator

AI agent ROI is calculated by subtracting the total platform and review costs from the labor value of the hours saved. Net value is realized only when the time saved on successful outcomes exceeds the cost of implementation, usage, and human oversight.

AI Platform Pricing Index and Directory

Business AI pricing currently ranges from $3 to $59 per seat per month, with most general productivity tools clustering between $10 and $20. Specialized coding agents and creative platforms occupy the higher end of the market, often starting at $40 per seat.
